Challenge

ADF has been in an explosive growth mode for the last five years. Many of the older systems were taxed with the increased volume.

A top priority was to maintain excellent communications with a large number of donors and volunteers. Externally - hundreds of thousands of donors needed receipts for tax purposes. Internally - hundreds of volunteers and staff members needed access to a variety of training and marketing materials.

ADF’s in-house program did not have access to specialized technology. More and more staff members were needed to manage increasing demands. Costs were increasing and efficiencies were decreasing. A new approach was needed to manage current and future growth.

Solutions

TTG automated ADF’s receipting process to donors. All functions regarding receipting are now managed in one location offsite. ADF staff time was reduced to just transferring electronic files with all the variable mailing options managed by TTG. Presorting and Cass certification was introduced with the TTG solution and postage costs were reduced. A product code was added to the receipt which helps donors with tax questions and simultaneously acts as a quality control reference point for premiums being mailed with receipts. All fulfillment for volunteers and regional offices was also moved offsite. ADF staff no longer have to manage or provide space for a growing inventory of materials. TTG also established an online ordering service that distributes ADF materials and provides ADF with a detailed reporting system.

Results

Staff time reduced in two key areas and stress points decreased.

Measurable cost savings on postage was achieved.

Staff time for materials management was reduced by 90%.

Response time rates improved.

Much needed space was made available when inventory was relocated to a warehouse environment.
